Privacy policy

How Zenif Studio collects, uses and looks after your personal information. Last updated 11 October 2026.

Who we are

Zenif Studio Ltd (“Zenif Studio”, “we” or “us”) is a pay monthly web design agency, registered in England and Wales with company number 12872688. We're the controller of the personal information described in this policy.

Our office is at Office 203, Dockside Outlet Centre, Maritime Way, St Mary's Island, Chatham, Kent ME4 3ED. If you have any questions about this policy or your information, email hello@zenif.co.uk or call 01634 481416.

The information we collect

We only collect what we need. Depending on how you deal with us, that may include:

  • When you get in touch. If you use our contact form, email or call us, we collect your name and email address. You may also tell us more, such as your phone number, business name, trade or industry, town and current website. You might share what you need help with, when you'd like to start, your budget, how you found us, who referred you and your message.
  • When you build a plan. WebWizard, our online plan builder, records the services and options you choose and the contact details you give us. We use these to finalise your plan with you.
  • When you refer someone. Through Zenif Rewards, we collect your name and contact details and the details of the business you refer. We also collect the bank details we need to pay your reward.
  • When you become a client. We collect your contact and billing details and information about your business. We also keep the content you give us for your website (such as text, photos and logos), and records of the work we do and the payments you make.
  • When you visit our website. Like most websites, our hosting provider's servers record technical information such as your IP address, browser type and the pages you request. This keeps the site secure and working. We don't use analytics or advertising tracking on this website.

How we use your information

Data protection law says we need a lawful basis for using your information. Here's what we use it for, and why:

  • To reply to your enquiry and give you a quote or plan. This is in our legitimate interests, and helps us take the steps you ask for before entering a contract.
  • To provide our services to you as a client, including billing and support. This is needed to perform our contract with you.
  • To pay referral rewards under Zenif Rewards, as part of the arrangement you've agreed to.
  • To keep our website secure and working, which is in our legitimate interests and yours.
  • To meet our legal obligations, such as keeping accounting and tax records.

We won't add you to a marketing list unless you ask us to, and you can ask us to stop contacting you at any time.

Who we share it with

We don't sell your information. We only share it with trusted service providers who help us run our business, and only as much as they need. They include our website hosting provider (SiteGround), the providers of our email and office software, and our accounting and banking providers. We may also share information if the law requires us to.

Fonts, code and links to other websites

Our website loads fonts from Google Fonts and some code from the jsDelivr content delivery network. When your browser loads these files, your IP address is sent to those providers so they can deliver them. Links on our website to our social media pages, and to AI assistants such as ChatGPT, Claude, Gemini, Perplexity and Grok, take you to services that have their own privacy policies.

Cookies and similar technologies

We don't use cookies to track you or to show you adverts. Our website stores a small amount of information in your browser that it needs to work. For example, if you switch to day mode, your browser remembers that choice, and WordPress briefly checks which emoji your browser supports. This information stays on your device and isn't used to identify you.

If you log in to the website, WordPress sets the cookies it needs to keep you signed in.

Where your information is processed

Some of our service providers, such as Google, may process information outside the UK. Where they do, we rely on appropriate safeguards, such as the UK's adequacy regulations or approved contract clauses, to keep your information protected.

How long we keep it

  • Enquiries that don't lead to work: up to two years after we were last in touch.
  • Client and financial records: six years after our working relationship ends, to meet our legal and tax obligations.
  • Referral records: for as long as we need them to pay rewards and keep proper accounts.
  • Server logs: kept by our hosting provider for a short period for security.

Your rights

Under UK data protection law, you have the right to:

  • ask for a copy of the information we hold about you
  • ask us to correct information that's wrong or incomplete
  • ask us to delete your information
  • ask us to limit how we use your information, or object to us using it
  • ask us to transfer your information to you or another organisation
  • withdraw your consent at any time, where we rely on it

To use any of these rights, email hello@zenif.co.uk. We'll respond within one month, and there's usually no charge.

Keeping your information safe

We use appropriate technical and organisational measures to protect your information, including secure (HTTPS) connections on our website, limiting who can access it, and keeping our systems up to date.

Complaints

If you're unhappy with how we've handled your information, please contact us first so we can put things right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk or on 0303 123 1113.

Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
